Exec Meetings will be held on a quarterly basis or as needed.

Working Group Meetings will be held on an ad-hoc basis. Attendance is needed by those serving on each group or a named deputy for the meeting.

Help For Heroes Sub Committee:

This group acts as a steering group for the planning of the annual Help 4 Heroes charity rugby tournament.

Closing Words

Following endorsement of this document by the Committee, it will be forwarded for agreement by Brodie Clark - the President of the club. It will then be circulated to members of the club so that they are informed on what the club intends to undertake in this year, how it intends to go about doing this and what they as players can expect from the CSSC Barbarians Rugby Club. The intention is that a business plan will then be agreed and issued on a yearly-basis. The aim is that future business plans will be available in advance of the commencement of the Union playing season.

CSSC Barbarians - Committee Positions - Roles and Responsibilities

Chairman

  • Set the overall direction for the club.
  • Chair meetings of the Executive Committee.
  • Chair meetings of the Strategic Planning Working Group.
  • Maintain oversight of work of all the Working Groups.
  • High-level liaison with other clubs, bodies and organisations.
  • Arbitrate and adjudicate on any disciplinary matters.

Vice-Chairman

  • Chair meetings of the Executive Committee where Chairman is unavailable.
  • Support Chairman in other roles and responsibilities.

Club Captain

  • Promote the members charter with regard to playing standards on the pitch.
  • Maintain overview of playing, selection and training policies throughout each form of rugby played by the club.

Club Secretary

  • Attend meetings of the Executive Committee producing prompt, accurate full notes of meetings.
  • Drafting relevant correspondence on behalf of the club.

Coach

  • Attend meetings of the Playing Working Group.
  • Design and conduct effective training sessions to maximise performance of the clubs teams, promoting increased skill levels while catering for all abilities, primarily in regard to full-contact rugby.
  • Where possible, attend fixtures setting out game strategies and offering constructive feedback on player/team performance.

Treasurer

  • Chair meetings of the Finance Working Group.
  • Oversight of club's finances and budget ahead of the playing year.
  • Review of club finances during the year, overseeing revenue and expenditure.
  • Responsibility for collecting match-fees after games.
  • Producing accurate, auditable end-of-year accounts for the clubs AGM.

Team Manager

  • Obtain and finalise player interest in each fixture.
  • Confirm match-day arrangements with opposition; confirm medical arrangements for each fixture.
  • Oversight of playing kit on day of match fixture - checking it in and out, including shirts, water bottles, kicking tees.

Men's Captain

  • Attend meetings of the Playing Working Group.
  • Selection of the men's XV team for each fixture.
  • Captain men's XV fixtures, promoting the playing of the game in accordance with the member's charter.
  • Support the activities and direction of the Coach.

Men's Vice Captain

  • Attend meetings of the Playing Working Group where Men's Captain is unavailable.
  • Assist with selection of men's XV team for each fixture.
  • Assist men's captain during XV fixtures, promoting the playing of the game in accordance with the member's charter.
  • Support the activities and direction of the Coach.

Ladies Captain

  • Promotion of ladies playing interests throughout the club with a particular emphasis on training, mixed-touch rugby and female only activities.
  • Attend meetings of the Playing Working Group where ladies interests are represented.
  • Support the activities and direction of the Coach.

Mixed-Touch Captain

  • Attend meetings of the Playing Working Group where mixed-touch rugby interests are represented.
  • Co-ordinate participation in mixed touch-rugby tournaments and events.
  • Co-ordinate training sessions for mixed touch-rugby.
  • Support the activities and direction of the Coach.

7's Captain

  • Attend meetings of the Playing Working Group where 7's Rugby is being discussed.
  • Co-ordinate participation in 7's rugby tournaments and events.
  • Selection of the men's 7's team for each fixture.
  • Captain men's 7's fixtures, promoting the playing of the game in accordance with the member's charter.
  • Support the activities and direction of the Coach.

Kit Manager

  • Attend meetings of the Finance Working Group.
  • Maintain inventory of club kit.
  • Liaise with Treasurer in outlining kit requirements and agreeing budget to meet these.
  • Liaison with club kit suppliers overseeing procurement process for additional kit.

Assistant Kit Manager

  • Attend meetings of the Finance Working Group where Kit Manager is unavailable.
  • Assist the Kit Manager in maintaining inventory of club kit,
  • Assist kit managers with procurement process for additional kit.

Communication Secretary

  • Produce and distribute tailored, informative, inclusive club newsletters and communications for internal and external parties.
  • Oversight and production of leaflets, posters, etc fit advertising club events.
  • Liaise with Social Secretary and Tour Secretary in promoting social events and club tour.

Fixtures Secretary

  • Attend meetings of the Playing Working Group in deciding programme of clubs XV's rugby fixtures for the season ahead.
  • Liaison with other clubs to produce a competitive and appropriate series of fixtures for forthcoming year.
  • Arrangement of substitute fixtures, where possible, in event of cancellation of XV's games.

Membership Secretary

  • Attend meetings of the Strategic Planning Working Group.
  • Maintain an accurate, up-to-date, database of the clubs members.
  • Co-ordinate agreement and review of membership fee levels.
  • Maximise timely payment of annual membership subscriptions

Social Secretary

  • Organise and co-ordinate a balanced, inclusive series of social events for the club and its members.
  • Liaise with Communications Secretary in advertising and promoting social events.

Tour Secretary

  • Attend meetings of the Finance Working Group where club's annual Tour to liaise on budgetary arrangements for the tour.
  • Organise and co-ordinate clubs annual tour working with men's captain to ensure an appropriate playing fixture and social secretary to co-ordinate tour social activities.

Statistics Secretary

  • Maintain a statistical record of participation on clubs playing activities.
  • Supplying relevant statistics to assist club in ascertaining its active membership levels, levels of participation and kit requirements.

Webmaster

  • Promote the club's activities through the website maintaining an up-to-date record in a manner that promotes the clubs values.
  • Liaise as appropriate with relevant members of the club to procure fresh material for inclusion on the website.

Committee Members

  • Attend meetings of the clubs Executive Committee
  • Assist other members of the Committee in ad-hoc tasks where required.
