5 Easy Steps to Organising Events
STEP 1: Innovate! Come up with an idea (e.g. social, sporting or musical event) that YOU would like to organise for staff in your office, area or region. Combine your event with fundraising for a particular charity as an extra incentive for staff participation.
STEP 2: Team Mates. It is not much fun organising on your own. Band together a team of volunteers; it is amazing how one or two like-minded colleagues open up avenues for persuading others to come aboard! Once you have your team or "organising committee", agree with them how often you will meet to work out the "what, where and how" and agree tasks/duties to be carried out. If you require funds or subsidy, then a staff member with CSSC membership should submit a funding bid to JURA at sportsandsocial@justice.gsi.gov.uk
STEP 3: Communicate. The efforts of the team warrants that you "shout about it" (i.e. promote the event). You may already know of local communications channels that you could use. Additionally, contact JURA who will help publicise your event. If your event is open to staff members nationwide, JURA will publicise it via the MoJ National Bulletin. We can also use CSSC communication channels. As staff members sign up to your event, your team should keep an attendee/guest list.
STEP 4: Educate. On the day/night of your event, you should run through "house-keeping" i.e. health and safety and fire evacuation procedures with your guests. This does not need to be any longer than two minutes. In addition to having a guest speaker (if you have secured one), you should "educate" i.e. inform guests about the event. This could be via short introduction, presentation or posters/leaflets. In addition to any charitable incentive, other important points include:
The importance of work-life-balance which promotes physical and emotional health and well-being for staff.
Raising awareness of JURA and what it stands for, particularly if you have received funding from us.
Benefits of CSSC membership to staff members and their family and friends.
STEP 5: Evaluate. This is an often forgotten, though important post-event activity. The team should meet for a "wash-up" meeting, record lessons and submit to JURA by email to share best practice.
